3. How we use it and our lawful basis

• To process your tickets and camping bookings and send your e-tickets and booking information – necessary to perform our contract with you.
• To reply to your enquiries – our legitimate interest in answering questions from visitors and exhibitors.
• To send show news by email – your consent. Every email has an unsubscribe link and you can opt out at any time.
• To manage exhibitor bookings – necessary to perform our contract with the exhibitor.
• To understand how the website is used and improve it – your consent, given through the cookie banner.
• To meet legal obligations, such as keeping financial records.

We do not sell your personal information and we do not use it for automated decision-making.

4. Who we share it with

We only share your information with trusted service providers who help us run our shows and this website, and only as much as they need:

• Ecwid (Lightspeed) – runs our online ticket shop and stores order details on our behalf.
• Payment providers connected to our Ecwid shop – process your card payment securely. Their own privacy policies apply to the payment.
• Google – Google Analytics (website statistics) and Google Maps (the maps on our show pages).
• Our email provider – to send and receive emails and show news.

Some of these providers store data outside the UK, including in the USA. Where they do, they use approved safeguards such as the UK International Data Transfer Agreement, Standard Contractual Clauses or the UK Extension to the EU–US Data Privacy Framework.

We may also share information where the law requires it, for example with the police or HMRC.

5. How long we keep it

• Ticket, camping and exhibitor booking records – 6 years, to meet accounting and tax rules.
• Enquiries – up to 2 years after we last hear from you.
• Show news sign-ups – until you unsubscribe.
• Google Analytics data – 14 months, after which it is deleted automatically.

6. Your rights

Under UK data protection law you have the right to:

• ask for a copy of the information we hold about you
• ask us to correct anything that is wrong
• ask us to delete your information
• object to, or ask us to restrict, how we use it
• ask us to transfer it to you or another organisation
• withdraw your consent at any time, for example by unsubscribing from emails or changing your cookie choice

To use any of these rights, email sales@appletree-exhibitions.co.uk. We will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

7. Cookies

Cookies are small text files stored on your device when you visit a website. We use them to understand how our website is used. Analytics cookies are only set if you accept them in the cookie banner.

Third-party cookies

• Google Maps – the maps on our show pages are provided by Google, which may set its own cookies when the map loads.
• Ecwid ticket shop – when you go to our ticket shop, Ecwid sets cookies that are needed for your basket and checkout to work. These are covered by Ecwid's own cookie policy.

Managing cookies

You can change your choice at any time using the cookie settings link, or by clearing cookies in your browser. You can also block cookies in your browser settings, though some sites may not work properly if you do. To opt out of Google Analytics on all websites, you can install the Google Analytics opt-out browser add-on.
